In April 2012, the hotel sales was informed through Shanghai sister hotels that Air Products company this year's Global Conference will be held in Hangzhou or Shanghai which destination is not decided yet. We immediately made contact with the headquarters of Air Products, got the contacts of Miss Soephy who is responsible for this meeting.
For the first time in the telephone communication with Soephy, we particularly introduced the Paradise city on Earth, especially during their meeting time in Autumn season, the whole city is full of sweet - scented Osmanthus fragrance, the scenery here is very charming. We also describe the basic situation of the hotel that we are very confident to make this events successfully done. Miss Soephy expressed the big reorganization with our active contact. We were noted that Miss Soephy and her colleagues had stayed our IHG hotels for their business trip. Since this is a bigger and important annual meeting for their company, normally they will select two a cities, each city select three hotels to do the audit and comparison, finally they will choose the most right hotel held this meeting. On request we made a detailed schedule of meetings and offer quotations, especially highlighted IHG PCMR program. We kept in touch with Miss Soephy almost every day, we help her well know about the tourism, restaurant and transportation and so on in Hangzhou city.
A month later, we finally heard the good news, Air products decided to put this annual meeting held in Hangzhou. Next we started to prepare all the details for Hotel Inspection, hotel General Manager and department head pay high attention on this hotel inspection matters, hoping to stand out in other two our competitor hotels and get this business in. We also put hard efforts in particular on all details of their team building plan which is one important part of this meeting.
After three months of efforts, one day in August, when Miss Soephy and her team came to hotel do the inspection, hotel General Manager Jason Burnett personally introduced the detailed arrangements for the conference, even for the brightness adjusting of the lights. We have answered all the questions raised by customers. Customers are very satisfied and finally make the decision to hold the meeting in our hotel.
Before the meeting event, hotel departments specifically held internal communication meeting to ensure that each department are all very clear about the customer's requirements, highly stressed that close cooperation between each departments is critical to the successful completion of this meeting. During the meeting days, every day related operation department carried out the briefing to staff make sure that the service does not make any mistake.
With customer’s great support and hotel colleague’s hard working, this meeting was successfully completed in Holiday Inn Hangzhou City Center. Clients said that they feel very luck and thankful to organize this important conference for the final choice in our hotel. They believe will be more cooperation with us and IHG in the future. The clients had written to us a warm letter of commendation after they came back to Singapore.
