Meeting Framework

The first thing you need to determine is the objective and scope of the event. What will be accomplished after the event? Setting clear objectives is the foundation of a successful event.

Few tips will help you to build the framework of your meetings / events.

  • Define the reasons / objectives for the meeting.
  • Determine the scope and format of the meeting.
  • Determine who will be attending the meeting or event. Any guest speakers?
  • Decide the most suitable venue for the event.

Budgeting

  • Consider the provision of any gifts and extra services to certain guests.
  • Reserve a small amount in your budget to accommodate unexpected expenses.
  • Any third party expenses you need to prepare according to the program rundown.
  • Review hotel accounts daily to avoid surprises on the final bill.
  • Site Selection
  • Understand your location preference. Do you prefer to be close to your office? Or you prefer to have close proximity to another site (clients’ office / airport)? Or does a resort work better?
  • Estimate the number and size of function rooms required for the meetings, as well as the need for coffee breaks, breakout sessions, exhibitions and meals.
  • Estimate how much time will be spent for the meeting (What type of meeting it will be – e.g. workshop, conference, etc.), then determine the types of facilities to meet your needs.
  • If attendees have to stay at the meeting hotel, ensure the number of guestrooms is enough.
  • If a destination or property is new to you, visit, tour around and experience the site, and put yourself in your attendees’ shoes.

Meals Arrangement

  • Remember to ask the attendees about their special dietary needs (i.e., allergies, religious beliefs, vegan, etc.) ahead of time.
  • Decide how much time you will allow for each meal period. Will all meals be arranged or will some meals be paid by the attendees?

Technology

  • Inquire about the Wi-Fi service available in both meeting rooms and guestrooms, some attendees prefer either wired or wireless.
  • Any other equipment you may need inside the meeting rooms, e.g. special lighting or portable audio equipment?

Recreational Activities

  • People may need a break from the long meeting. Is there a space available inside or outside the hotel for relaxation?
  • Coordinate with the hotel concierge to recommend local places for attendees to visit based on their schedule.
  • If time allows, ask for a list of recreational activities (i.e. sightseeing, sports outings etc.) available for attendees so they can go exploring the city during their spare time.
  • Any hotel map / location maps available for attendees inside the hotel.

The Sukhothai Shanghai - GM Marcel Holman

A Dutch national, Marcel N.A. Holman has been appointed as the General Manager for The Sukhothai Shanghai, a contemporary design hotel managed by The Sukhothai Hotels & Resorts, scheduled to debut in December 2017.

Prior to joining The Sukhothai Shanghai, Mr Holman was formerly the General Manager of Shangri-La’s Far Eastern Plaza Hotel Taipeiand MEGA50, an external Food & Beverage lifestyle Complex from 2012 till mid-2016, followed by General Manager Projects for Shangri-La Hotels & Resorts properties based in Singapore, Shanghai and Jakarta.

Mr Holman started his international hospitality career in Asia Pacific 24 years ago as the Assistant Food & Beverage Manager in Queenstown, New Zealand followed by several assignmentswith InterContinental Hotels Group, Rotana Hotels and Shangri-La Hotels & Resorts in Australia, China, United Arab Emirates and Taiwan.

In July 2005, he joined the Shangri-La Fuzhou, China as Resident Manager and was responsible for the entire hotel's operations during the soft opening period. After a year tenure with the Shangri-La, Fuzhou, China, Mr Holman was transferred to Shangri-La Chengdu, China in a similar capacity for the pre-opening of the hotel and one year after opening, he took up his first assignment as General Manager with the China World Summit Wing, Convention Centre (A Shangri-La Hotel) Beijing in 2008. In this capacity, Mr Holman was tasked to set-up the structure and streamline the process in preparation for the pre-opening of this flagship Shangri-La hotel.

He remained until his move to Wuhan to oversee the USD25 million renovation. After two years, Mr Holman was assigned to the Shangri-La’s Far Eastern Plaza Taipei, Taiwan to execute the USD52 million renovation project and the hotel relaunch program. In 2015, he was instrumental in the conceptualization, preparations and execution of Shangri-La’s first external Food & Beverage complex consisting of 3 lifestyle venues and a ballroom located on the 48th, 49th and 50th floor which opened successfully in 2016.In mid-2016, Mr Holman took on the position as General Manager - Projects for the various Shangri-La Hotels & Resorts properties in Singapore, Shanghai and Jakarta.

One of his greatest achievement was being awarded the winner of “Food & Beverage Creativity Award” InterContinental Hotels North Asia.

Mr Holman now heads a team of 249professionals in the operation of the 17-storey - The Sukhothai Shanghai with 201 uniquely designed guest rooms and suites, five lifestyle venues and event space accommodating up to 350 persons for reception, a state-of-the-art 198 square metre fitness centre and a Spa. In addition, Mr Holman will also oversee the leasing and catering management of the “Cha House”, a restored heritage 3-storey building annexed to the Hotel.

During his career, Mr Holman has been involved in 6 hotel openings and 3 hotel renovation projects in senior roles and studied International Hotel Management in The Netherlands, complimented with several Cornell courses and has completed his Master of Business Administration (MBA) in 2014.

Mr. Holman holds a duel role as Vice President Mainland China for The Sukhothai Hotels & Resorts responsible for the brand development and expansion of the Sukhothai brand within Mainland China.

Our Presidential Villa is equipped with 2 boardroom meeting facilities and residential spaces that can be converted for any kind of meeting or event. It is an all in one private space for our clients to be able to get out of the conventional meeting rooms and into a more creative and engaging environment.

  • What’s the recent development and challenge to your hotel?

Sanya is the best resort destination in the China and has one the densest populations of hotels in Asia with many more on the way. With this, clients looking at Sanya have so many choices to consider from economy through Luxury when deciding to come. The biggest challenge for us is how to attract new guests and earn their loyalty to Raffles Hainan. Fortunate for our resort we have so many differentiators and we are so well equipped to handle anything with the best in class experience that we forge ahead with total confidence.   • As a westerner, how do you feel about your work in China? What’s the main challenge you’ve got?

I love China. In fact I am so blessed to have had the opportunity to come here many years ago and meet my wife who is a native of Guangxi Province. So needless to say China is now a home for me. The main challenge I am constantly aware of is to be respectful of Chinese culture and ensuring that I am always communicating well and understanding that right ways to move forward and improve what we do each and everyday.

Today’s guests and especially Chinese guests are much more focused on emotional experiences and the expectation of high-end quality service.
